Everything you need for a Great 80 Guest Party

Here is an example of a fantastic 80 person Garden Party Package. It should give you an idea of how parties like this work. All our events are bespoke so we can add and remove elements as you wish. This package can be booked directly as it is or be personalised for your own special event.  We can adapt this event for Weddings, 18th, 21st, 30th, 40th and 50th Birthday Parties, Garden Parties and Anniversaries.

This Quote is based on:

  • Guests – 80 Guests
  • Event times – 1900hrs to 0100hrs (TBC)
  • Event type – Celebration Party – Full event production to include Marquees, Mobile Nightclub, Cocktail Bar, Staff, Toilets, Event Management and Clear Up.

Event Brief:-

To create a memorable party to celebrate your special occasion and to entertain your guests. To include Marquee Structures, Chill Out Area, Mobile Night Club, Mobile Cocktail Bar, Power Distribution, Event Lighting and Event Staff – everything for a great event – including all the clearing up!

Event Design:-

We specialise in creating fantastic parties. In describing your party design we find it helpful to “walk” clients through the party as if they were a guest. Starting as if they were arriving at the party and moving through each aspect until the end of the night.

Guests Arrival, Exterior Lighting and Reception Drinks:-

Guests will arrive at your house and Fairy Lights will guide guests to the entrance to your party.  They will be met at the entrance of the marquees by our staff who will offer them a reception drink of your choice, normally a cocktail, from silver trays.  We will circulate, as people meet and chat, topping up glasses.  Depending on the time of year and the weather we can arrange for guests to have welcome drinks on your lawn, where we can set up bean bags and some poseur tables.

Marquees:-

  • Our 9m wide x 12m long Clearspan Frame Marquees will form the main party marquee with space for the Bar, Dancefloor and DJ. The Marquee will have flat ivory lining on the walls and roof.
  • The Marquee will carpeted in a colour of your choice. All carpet is brand new.

Furniture and Lighting within the Main Marquee:-

  • LED wash lights creating ambient lighting in the Marquees
  • 2 x low level sofas
  • 6 x scatter cushions on the sofas
  • 2 x low black tables
  • 15 x bean bags cubes in Red, Black and Ivory (colours tbc)
  • Gloss Downlit Mobile Bar and Mirrored Back Bar

Marquee Exterior:-

Your marquee interiors will be lit with LED colour blocks and LED battens. This will provide ambient lighting for the evening. All lights can change colour or stay on static wash if needed.

Mobile Nightclub:-

We will produce a premium nightclub dancing experience which will include the following:-

  • 16ft x 16ft Black and White Dancefloor
  • Stage with black valance for the DJ.
  • DJ Booth
  • Arch Tri lite truss – set over the dance floor
  • Moving head lights and scanners
  • 5KwPa to include speakers, bass bins and amps
  • Wireless microphone for any speeches or performers
  • DJ decks and mixer
  • Top class London Nightclub DJ – We will put you in touch with the DJ a couple of weeks before your party so you can have a chat about what music you like!

 Cocktail Bar:-

We will install a 6ft Gloss Downlit Bar in the main marquee with a mirrored back bar where the stock will be displayed. Behind the bar we will install a bespoke fast cooling double door fridge for the refrigeration of all your drinks to the perfect temperature.

We will supply all the necessary Spirits, Bottled Beers and Soft Drinks for a complete cocktail bar.  This is £1000 + VAT worth of Stock on a Sale or return Basis.

We supply all the necessary bar glassware.

We will also supply:-

  • 1 x Bar Manager
  • 2 x Bar staff to make cocktails and drinks all night
  • Ice, fruit, glassware, trays and all sundries needed to run the bar
  • A bespoke cocktail list will be printed for you.

Catering:-

We will provide a Mobile Pizzeria to provide freshly prepared and cooked pizzas to your guests throughout the evening – These are really popular with Birthday Parties as they are relaxed and guests can eat as and when they like throughout the evening. They are also great for soaking up the delicious Capability Cocktails!

This will normally be in the form of a self contained catering van that will have wood-fired ovens too cook – so no mess or disturbance in your house.

Power:-

When we come to visit the site we can assess the house power suitability. For most events of this size power can be taken from the house.  All our plugs and sockets are waterproof.

If necessary we can supply an additional generator to ensure there is enough power for your party.

Marquee Heating:-

  • 1 x LPG Fired Heater under our control

Staffing:-

We will supply you with 4 event staff in total. This will consist of:

  • 1 x Event Manager – Doubles as Bar Manager
  • 2 x Bar staff
  • 1 x DJ
  • The caterers will bring all their own staff to prepare and serve the food.

Event Management:-

We will personally supervise all aspects of your event, from the build though to the clear up. We will ensure that your party runs smoothly and is enjoyed by everyone.  We are experienced at managing excess at 18th Birthday Parties and will ensure that the party is safe an enjoyable for all the guests. At most other events then usually guests are good at regulating their cocktail intake!

Party Clean Up:-

At the end of your party we will clear the outside areas of the marquee back inside the structures. We will then shut the marquee up for the night and go to our hotel. On the Sunday our staff will remove all event equipment, litter pick and sweep the site to endeavour to return it back to original condition. We will remove all the rubbish from your house.

Marquee Build Schedule (provisional):-

  • Friday– Marquee and equipment install
  • Saturday – Finish install, tidy up, run all equipment and check
  • Sunday – Equipment take out and site clean, Marquee knock down

We provide a complete event management, no hassle solution for your event. We professionally run the entire party from start to finish. All you have to do is supply the guests and turn up ready to have a great night. You can leave everything up to us. Our package includes the marquee, staffing, insurance and site clear up. – Everything you need for a fantastic party.

Optional Extras:-

All our events are bespoke and designed to suit each individual client. The above is an example of what we can do, it can be designed to suit you and your particular celebration.  There is lots of other bits and pieces we can add to your event for that extra special touch, some of the most popular:

  • Toilets – Either a smart toilet trailer or individual Poly Loos.
  • Starcloth Roof sections – these create a twinkling sky over your dancefloor!
  • A 6m by 6m Chinese Hat Pagoda to expand the size of your Party and have a Chill Out Area.
  • Red Carpet, Flames and Fairly Lit Entrance – Create the real wow factor by inviting your guests down the red carpet!
  • Garden and Exterior Lighting to make your party look great inside and out!
  • Garden Furniture and Patio Heaters so guests can relax and get away from the party in the garden without getting chilly!
  • Silent Disco Headphones  – if you are worried about the neighbours getting some rest after midnight switch to a silent disco and party all night!
  • Jugglers, Fire Acts, Ringmaster, Dancers.

If you want to reduce the costs of this event there are a couple of options.  Please be aware that these are all pretty important items for your event and including them in the package is likely to be the most cost effective solution for you.

  • Remove the spirits from the bar – we would serve a range of bottled beers and similar drinks.
  • Remove the Catering

Remember – nothing is impossible, we can provide anything from Hot Tubs to Vodka Ice Luges – you just tell us what you want and we will provide!
