Summer Ball Package

Every year we organise many Summer Balls. This event package is based around one of our most popular formats for 500 guests.

The idea of the package is to enable the prospective client to see at a glance what is needed to produce an excellent event for a set price. We supply all the items listed below for one price. You get the reassurance that we know that all the items fit together and have extensive experience in creating professional events. The price also includes our event management so you can rest assured that all you need to do is bring your guests!

Marquees:-

• 9m wide x 15m Nightclub Marquee
• 9m wide x 21m Bar and Chill Out Marquee
• The above marquees have ivory flat roof and wall lining with charcoal gray carpet over plastic clip together flooring.
• 5m x 5m Black and White Dance Floor
• 9m wide x 12m Clear roof reception marquee.
• The reception Marquee has a Red Carpet over a plastic clip together floor.

Bars:-

• 7.5m wide Down lit Mobile Bar with matching 1.8m back bar with mirror shelves. This is the main bar.
• 3.6m wide Down lit Mobile Bar. This is the Cocktail Bar
• Both bars serve a full range of drinks including Cocktails.
• Draught bar service to enable pints to be served to guests.
• All glassware.
• Glass washer
• Bar Manager, Bar Staff and two Cocktail Barmen.
• Stock, Ice, fruit and all sundries.
• The stock is supplied on sale or return and at cost price. Any unopened stock after the event is refunded to the client. You may choose any stock you want. You may supply some or all of the stock yourself, however it is often easier for us to supply all stock to reduce the risk of confusion.
• The bar can either be a pay bar or a free bar. If you choose to charge your guests for drinks we will provide tills and price the drinks according to your wishes. You will need to provide the float for the tills and a responsible person to receive the cash taken over the bar. You would keep this bar take and you will profit from the sale of the drinks.
• We will apply for the licence for the bar and the whole event if one is not already in force

Chill Out Furniture:-

• 6 x Low white sofas
• 6 x Low white tables
• 6 x Bean Bag cubes per sofa, these are firm enough to sit on. 36 in total
• Candles in glass globes for the low tables
• 8 x Small high bar tables
• 24 x Bar stools
• A selection of extra large bean bags for guests to lounge on
• Low chill out LED lighting around the sides of the marquee to up light the area
• Wash lights in the roof of the marquee to throw light on the tables
• Scatter cushions on the low sofas

Nightclub:-

• Full, high quality speaker system
• DJ decks, mixer, laptop and wireless microphone
• Extensive lighting rig above the dance floor in the marquee roof
• DJ who will liaise with the client to ensure the correct mix of music is played
• Large moving light system

Exterior lighting: and effects:-

• 2 x City colour 2.5kw colour changing wash lights to up light buildings or marquee
• 2 x Hollywood Sky Trackers, Intense beams of light the pan around the sky, can be seen for up to 20 miles.
• 2 x Real Flame Flambeaux's. Can only be situated outside.
• Uplighting of trees and features dependant on the setting

Fireworks:-

• Extensive display. (must be fired before 11pm). Appox 7-10 minuets
• Professional Category 4 fireworks only available to experts
• Subject to site survey and the audience must be at least 50m away

Security:-

• 4 x Professional SIA registered personnel to provide ticket checking and general event safety and security

Event Management:-

• 1 x Event manager to plan event, supervise installation of equipment and run the event.
• A crew to set up, take down and clear up the event
• All clear up and rubbish removal provided. Our aim is to leave the site as we found it.

The above event is suitable for 500 people. The marquee size and drink allocation is based on this number.

We produce this event package for £25,000.00 + Vat.

Everything is provided in this package that you will need for a terrific event. However we make the following assumptions:-

• That the event space is flat, level in all directions and either grass or hard standing.
• That we are free to drill into hard standing, tarmac or concrete to secure the marquee, we do fill the holes after the event
• That there are no underground obstructions, pipes, cables or drains
• That we can have 2 days to set up, the day of the event and a day to take down at the minimum. (4 days in total)
• That there is a suitable electrical supply to tail into. We can supply a generator but this will be an additional cost.

Please understand that the above is a suggestion and that each event space is different. Our usual process is to visit a site and then produce a quote specific to that site and the clients wishes.
